Thank you for visiting our site.  Whether you are a new student or returning to Southern, outlined below are some useful records informational resources.  Please click on the appropriate link to get more information.  If you still have questions or need additional help, click the "Contact Us" link in the left column to email us directly.  Thanks again for your interest in Southern.
 

Academic Standing Policy

General
A student's academic status is computed at the end of each fall and spring semester. Academic status is not computed for summer sessions, nor does it affect a student's enrollment for a summer session.

Part-time
A part-time student may be placed on "academic warning" at the end of his first semester of enrollment. "Academic Probation" may be imposed after apart-time student completes 10 semester hours and "suspension" may be imposed after 19 semester hours have been attempted. A part-time student may be dismissed only after having attempted 24 semester hours.

Full-time
Good Standing
For a full-time student who enters the College in good standing, his status will remain "Good Standing" so long as each semester's grade point average is at least 2.0.

Academic Warning
Any semester that a student's semester grade point average falls below 2.0 or the student receives a grade of "F" in any course, the student will be placed on "Academic Warning". Academic Warning does not appear on the student's permanent academic record.

After Academic Warning, a student returns to "Good Standing" by achieving a semester average of 2.0 and no grade of "F" and a cumulative GPA of at least 1.5. A student stays on Academic Warning if his semester GPA falls below 2.0 or he makes an "F", with his cumulative average between 1.5 and 1.99.

Academic Probation
If, during the next semester of enrollment after academic warning, the student's cumulative average falls below 1.5, the student is placed on "Academic Probation". Such a student must consult with his academic advisor and may register for no more than 13 credit hours in the next semester of enrollment. "Academic Probation" will appear on the student's permanent academic record. A student on "Academic Probation" who maintains at least a 2.0 GPA during his next semester of enrollment will return to "Academic Warning" and after another semester's GPA of at least 2.0 will return to good standing. If, during this second semester, the semester GPA is below 2.0, the student returns to "Academic Probation" with its limitations on enrollment.

Academic Suspension
A student on "Academic Probation" who fails to achieve a semester GPA of 2.0 will be suspended for one semester. A suspended student is not eligible to attend Southern West Virginia Community and Technical College in his/her regular curriculum during a period of suspension nor will credits earned at other schools during this period be accepted in transfer.

Readmitted During Suspension Semester
Under some conditions a student on suspension from Southern West Virginia Community and Technical College may be allowed to register for courses during his suspension semester. The decision to allow a student to register is at the discretion of the Chief Academic Officer. All students who are on suspension must be advised by a full-time instructor. A suspension student is restricted in his/her selection of courses. Under this program, the student may enroll in a maximum of thirteen credit hours per semester. After the student has successfully completed one semester of study, he/she may request re-instatement to academic probation. This will be approved if the student has earned a 2.0 semester grade point average. If a student does not make a 2.0 semester grade point average, he/she is placed on academic suspension again. He/She must fulfill the suspension period of one year and may then request readmission to the College.

In an effort to address concerns and to improve services, Southern has developed a comment form.  This form can be printed and mailed to the Vice President for Student Services.  Also, you may email or call regarding any concern or suggestion.

Commonly-Used Terms
Academic advisor
faculty or staff member who assists students with course scheduling, serves as a resource for academic and nonacademic services, and offers counseling.
Add/drop
the period of time when students may adjust their course schedule - add or drop courses.
Classification
the designation of freshman or sophomore.
Credit hour
the credit value assigned to a course.
Full-time
full-time status for undergraduate students in a regular semester is 12 hours or more. Check with the financial assistance office for specific scholarship requirements, such as PROMISE.
Index number
a number printed in the Schedule of Classes used to identify classes and sections.
Major
a student's field of study (e.g. accounting, nursing, IT, etc.).
Override
electronic or written permission allowing entry into a closed or restricted class.
Part-time
undergraduate students with less than 12 hours in a regular semester.
Registrar's Office
the office that maintains student's official academic records, including courses, grades, and grade-point average (GPA). The Registrar's Office also directs the registration process.
Schedule of Classes
a book or site that contains class listings, meeting patterns, index numbers, academic calendar and exam schedules.
Staff
the term used in the Schedule of Classes to indicate that an instructor had not been assigned at the time of printing.
Syllabus
a written description of a course, assignments, grading policy, exams, etc., given to a class by the instructor at the beginning of the course.
Withdraw
a) to drop all classes during the withdraw period listed in the academic calendar; b) to drop a class with a grade of W. Occurs automatically if you drop a course after a specified date.

D and F Repeat Policy

If a student earns a "D" or "F" in course, he or she is eligible to repeat the course. The original "D" or "F" must occur no later than the semester in which a total of 60 hours is attempted. The grade earned the second time the course is taken will be used to determine the grade point average, if the course is repeated prior to the receipt of a degree of certificate from Southern. The first grade recorded will be identified on the permanent record as a repeated course. The original grade will not be deleted from the student's official transcript.

Dean's List

Students carrying a minimum of 12 semester hours and earning a grade point average of 3.25 or better are eligible to be placed on the Dean's List. No application is necessary; qualified students will automatically have their name appear on the Dean's List. Any questions regarding the Dean's List should be directed to the Registrar's Office.

Family Educational Rights and Privacy Act

The Family Educational Rights and Privacy Act requires institutions of higher education to establish written policies and guidelines governing the review, inspection, release, amendment and maintenance of student educational records. Southern West Virginia Community and Technical College has established policies and guidelines to ensure that the education records of its students are treated responsibly in accordance with the Act and U.S. Department of Education regulations. These policies
and guidelines may be obtained from the Records Office.

Non-Traditional Credit

General Guidelines
In accordance with recent trends towards the recognition of nontraditional learning experience, Southern West Virginia Community and Technical College offers students the opportunity to get a head start in college. College credit may be awarded for knowledge gained through reading, private study, and/or work experience. Southern West Virginia Community and Technical College has established specific procedures for the granting of college credit from non-traditional sources.

To qualify for graduation, fifteen (15) of the final twenty-three (23) hours of the required credit (exclusive of credit from non-traditional sources) must be earned in courses taken at Southern West Virginia Community and Technical College.

Any course in which a grade of "Credit" has been assigned is not used in computation of the student's grade point average.

A maximum of 24 semester hours credit may be awarded from all non-traditional sources.

Non-traditional credit cannot be awarded for any course which a student has previously completed at any college. A student may not completely place out of major courses either by national examinations, credit examinations, experiential learning, or any combination of these sources. Students who plan to use credit from non-traditional sources to meet the degree requirements of other institutions should check the requirements of the receiving institution, as this type of credit is usually re-evaluated by the receiving institution.
